How we select suppliers

Our Qualification Process

Every supplier in our network has gone through the four steps below before being matched with a buyer. This is what allows us to give buyers a real quality guarantee — not just a name and a phone number.

Field Visit & Verification

Our team or local partners conduct an on-site visit before onboarding. We verify processing capacity, storage conditions, workforce, and operational status.

Phytosanitary & Export Compliance

We check that the supplier can obtain valid phytosanitary certificates from their national plant protection organisation and comply with importing-country requirements (EU, US, Asia).

Moisture & Outturn Testing

Humidity tests (≤ 9 % for RCN, ≤ 5 % for kernels) and KOR / outturn measurement are performed on sample lots. Only suppliers meeting grade specifications are listed.

Trade References

We collect and verify at least two trade references — prior buyers or intermediaries — to confirm the supplier's reliability, shipping history, and payment track record.

Export documentation

Documents provided with each shipment

We ensure that every lot shipped via TropLink is accompanied by a complete documentation package. Buyers receive a copy of each document before cargo release.

Phytosanitary Certificate

Mandatory

Issued by the national plant protection authority. Confirms that the lot is free from pests and diseases and complies with the importing country's import requirements.

Weight Certificate

Mandatory

Independent weighing at loading port (SGS, Bureau Veritas or equivalent), confirming the exact net and gross weight of the shipped cargo.

Fumigation Report

Standard

Certificate of fumigation (methyl bromide or phosphine), issued by an accredited pest-control company. Required by most importing countries for plant products.

Bill of Lading

Standard

Issued by the shipping company confirming receipt of cargo for transport. The title document for international trade — released upon payment in line with agreed payment terms.

Additional documents available on request: Certificate of Origin, SGS / Bureau Veritas inspection report, Certificate of Analysis (COA), and HACCP / organic certificates where applicable.
